Cancellation & Rescheduling Policy
At Erco Films Co., we dedicate significant time and resources to prepare for your project. When a booking is confirmed, we commit our team and equipment to your specific date, often turning down other opportunities. To ensure fairness to our crew and clients, we adhere to the following policy:
Cancellation Fees
Fees are calculated based on how much notice is given prior to the scheduled start time of the project:
Notice Provided Cancellation Fee 7+ Days Notice Full refund of deposit (minus any non-refundable permits/costs).
72 Hours to 6 Days Loss of initial deposit (usually 25–50% of project total).
24 to 72 Hours 75% of the total project fee is due.
Less than 24 Hours 100% of the total project fee is due.
Rescheduling
We understand that life happens. If you need to move your shoot date:
One-time Courtesy: Rescheduling with more than 7 days' notice is free of charge, subject to our availability.
Late Rescheduling: Requests made within 7 days of the shoot may incur a re-stocking or labor fee to cover prep work already completed.
Weather & Force Majeure
For outdoor productions, if the weather makes filming impossible (and no indoor alternative exists), we will work with you to reschedule at no additional cost.
Note: This decision is at the discretion of the Director/Producer to ensure equipment safety.
Non-Refundable Expenses
Regardless of the notice given, the client is responsible for any out-of-pocket expenses already incurred by Erco Films Co. (e.g., location permits, specialized equipment rentals, or travel bookings).
